Administration

The office of the Dean provides administrative services for the University Library. This office oversees budget expenditures and the employment of library faculty, support staff, and student assistants.

The University Library, under the direction of the Provost and Vice President for Academic Affairs, implements the library programs and services. The Library’s Middle Management Advisory Committee, the committee’s members are all library faculty, and by all library support staff through a network of committees and approved work teams.

The Dean is responsible for the development and implementation of the library's mission, goals, and policies, as well as the safety and security of patrons, staff, and inventory.

Recommendations from University academic programs are strongly encouraged.  The Dean works with the University Library Committee (appointed by the Provost and Vice President for Academic Affairs), comprised of faculty and administrators from the various departments, schools, and colleges. This committee helps to formulate the mission, goals, and objectives of the library.

The Dean is assisted with the myriad of day-to-day duties by the Administration Team – comprised of an Administrative Assistant and an Administrative Coordinator.

All librarians, including the Dean, hold faculty rank and status. The organization of the library consists of 3 main departments: the Administrative Office, Access Services, and Technical Services.

The Acquisitions Department acquires monographic and serials library materials, both purchases and gifts, in all formats for the library. The donation of gifts to the library is governed by the Gift Policy. This department works with faculty to obtain their recommendations for the purchase of resources. This department oversees the significant expenditure of funds allocated in support of the 67 academic programs offered at the university. All academic colleges, schools, and departments are invited to participate in the annual selection of new library resources.

The Cataloging Department supports the teaching and research programs of the Grambling State University by providing and maintaining access to selected scholarly information in all formats.

We use SirsiDynix's Symphony Library Management System as our Online Catalog system, and Online Computer Library Center (OCLC) as our bibliographic database. Apart from the main collection, we catalog periodicals, audio-visual materials, computer files, and electronic resources.

Library collections are cataloged following the Anglo-American Cataloging Rules and Library of Congress Subject Headings. Materials are classified using Dewey Decimal Classification. In addition, we perform database maintenance.

The Cataloging Department provides efficient, timely bibliographic access to the Library's collection and other information resources in support of the Library and University educational mission.

Checkouts and Renewals

Current university identification cards are required for all checkouts and renewals. Guest borrowers must have a library courtesy card issued by the Circulation Unit.

Replacement Charges
All patrons are responsible for replacement fees for non returned items and for any materials damaged while checked out in their name. The replacement fee for books not returned is $60.00.

Other Services

LALINC
Resources can also be borrowed through Louisiana Libraries Information Network Consortium (LALINC) Libraries. LALINC allows persons to borrow resources from other libraries with a LALINC card. Each library determines the conditions that a borrower must meet in order to borrow resources. For example, the lending library determines the due date of materials borrowed from participating institutions. Graduate students must renew their LALINC cards at the beginning of each semester and faculty at the beginning of each academic year. LALINC applications are issued between the hours of 8:00 a.m. and 4:45 p.m. Monday through Friday at the Circulation Desk.

Interlibrary Loan

Interlibrary Loan Services

The library offers interlibrary loan services to GSU faculty, staff and graduate students, who may submit their requests via the Internet and the online ILLiad program in which the library participates. Patrons must create an ILLiad username and password when going to the ILLiad website for the first time. Afterwards, all they have to do is logon to ILLiad in order to submit their request from any Internet PC. There is no fee for Interlibrary Loan, and the borrowing cost, where applicable, is determined by the lending institution.

There are restrictions to the service. The library does not borrow resources it owns, and it does not lend rare books, reference materials, microforms, videotapes, theses, nor doctoral dissertations to other institutions.
